Sharing with Prospects

Overview

Once a study plan is generated, you have several ways to share it. Each method has its own strengths. The system also tracks when the prospect opens the link so you know if they have seen it.

Sharing Methods

WhatsApp (Best option)

Click the WhatsApp button to open a message window with a pre-written message. On a computer, it will try WhatsApp Desktop first, then open WhatsApp Web in your browser.

Phone numbers are formatted automatically. Admins can create ready-made message templates for standard WhatsApp messages.

Email

Click the mail icon to send the study plan by email. The email includes a personalised greeting, the PDF as an attachment, and a link to view it online.

You need to set up your email settings first. See Sending Emails for help.

Copy Link

Click Copy Link to copy the unique tracking link. You can then paste it anywhere: email, chat, document, social media, etc.

Download PDF

Click Download to save the PDF to your computer. You can then share it however you like: email, WhatsApp, USB drive, or print it.

Phone Call

Click the Call button to dial the prospect's phone number. Useful for follow-up calls after sending the study plan.

Sample vs Real Version

Sample Version ("Pre")

Has "SAMPLE ONLY" watermark on every page
Uses example data instead of real information
The letter says it is a sample
Use this to give prospects a preview

Real Version (1-5)

Professional look, no watermark
Uses the prospect's actual details
Letter includes their career goals
Use this when they are ready to proceed

Tracking Views

When a prospect opens their tracking link, the system records:

That the link was opened
When it was opened
How many times it has been opened

You can see this on your Dashboard and on the prospect's detail page. The status changes from "Not Viewed" to "Viewed" once they open it.

Best Practices

Send the Sample version first to spark interest
Follow up within 1-2 days if they have not opened the link
Log your calls and messages in the CRM to keep track
Schedule a follow-up reminder for prospects who have not responded
Update the prospect status after each conversation (Contacted, Meeting Scheduled, etc.)
